COVID-19 Policy & Procedure – In House Courses

Penny Price Academy of Aromatherapy is to be running a limited number of in-house courses from January 2022. This policy outlines the measures and practices in place to ensure the maximum safety and protection of our staff and visitors.

To support actions that combat the spread of the virus, we are implementing ways of greeting our students and operating that allow us to meet three goals:

  • To protect the safety and health of our students and staff.
  • To continue to teach our students, in pursuit of their personal development goals and aspirations.
  • To be part of the solution to slowing the spread of COVID-19.

Practical Measures

  • Student numbers will be strictly limited to a maximum of 6 students for theory-based courses and 4 students for practical massage courses.
  • All bookings will be flexible – if a student is unable to attend the course due to issues directly linked to Covid-19 the booking will be placed on hold and a transfer to a new date will be offered.
  • The maximum number of people allowed in the training room at one time is 7 (theory – 6 students/1 tutor and practical 4 students/1 tutor/2 models).
  • Where possible for practical massage courses, students will be asked to work on each other in pairs to limit the number of visitors. If this is not possible a maximum of 2 models can be used to ensure maximum numbers remain at 7. Where possible students will be asked to bring their own model, preferably from their own household.
  • Markings will be in place to lay out spaces between chairs/treatment stations to allow for physical distancing.
  • Where possible, even within a designated workstation, students should work back to back.
  • The training room will be well ventilated with open windows and the diffusion of anti-viral essential oils.
  • Hand gel will be provided on entry and throughout the course for regular use.
  • Regular hand washing is essential, and signage detailing guidance will be on display within the building.
  • The training room and all public spaces will be cleaned thoroughly prior to the commencement of each day of a course. All equipment will be sterilised.
  • Sealed bottles of water will be available. No other refreshments will be provided – students, visitors and models are asked to bring their own.
  • Students will be asked to bring their own stationary.
  • Student will be asked where possible to bring their own towels for practical sessions – 1x large towel and 2x medium towels. Where this is not possible fresh towels for practical treatments will be provided and assigned to each student – all towels will be washed at a minimum of 60 degrees before and after treatment. A container will be provided for students to deposit used towels.

Pre-attendance Measures

  • Students and models will be required to fill out and submit a medical questionnaire in relation to COVID-19 48 hours prior to their attendance – failure to complete this assessment or a submission which does not meet safe and satisfactory response requirements will result in the attendance being cancelled.
  • Students and models will be sent a copy of our this policy 48 hours prior to attendance. Confirmation of receipt and understanding must be provided by return.
  • All tutors will be required to complete a lateral flow COVID-19 test 24 hours prior to teaching. A positive test will result in the course being cancelled and the bookings transferred to a new date.

On-site Measures and PPE – Students

  • On entry to the building students will be required to complete a short medical questionnaire to include the taking of their temperature, failure to complete this assessment or a submission which does not meet a safe and satisfactory response will result in the students attendance being cancelled and access to the building denied. The student booking will be placed on hold and a transfer to a new date will be offered.
  • Students must always try to keep a safe distance from other students and staff – a minimum of 1 metre, ideally 2 metres. The training room will be practically set out to ensure this.
  • A Type II face mask will need to be worn by students at all times where social distancing is not practical. Masks may be removed when 2m distancing is possible i.e. for theory elements of courses.
  • Full PPE will need to be worn by all students for practical work where social distancing is not possible – this will include Type II Face Mask, Apron, Nitrile Gloves (where possible), Visor – all PPE will be provided or if the student would prefer to provide there own to the same standard this would be accepted.

  • Models must wear a Type II face mask at all times during their visit. These can be provided, or the model can provide their own to the same standard.
